Below are steps on how to set up the automated version of the Closing Clarity Tool.
Step 1: After opening Encompass, navigate to your settings and open up the "Web Version Settings".
Step 2: Once you are in your settings, go to "Services" and then "Automated Ordering Templates".
Step 3: Next, you will click "Add" on the right side of the screen and select "Closing Fees" as the category and then click "Continue".
Step 4: Once the new rule opens, you will name it and then click "Add".
Step 5: You will then select "LodeStar Closing Cost Calculator" as the provider and then click "Create". \
***You may have both a Production and a Test environment for LodeStar set up, so ensure that you select the correct one, whether you are wanting to test this before going live with it.
Step 6: LodeStar's Service Order screen will then open up and you will need to name the service order.
You will also need to make sure that the document folder that you will be uploading the sales contract in is selected, by clicking the "Add" symbol and selecting your document. This could be named a couple of different names as in "Purchase Agreement", "Sales Contract", "Purchase/ Sales Contract", etc.
*If you don't see the name of the folder you currently use, please reach out to us and we will get it added for you!
Step 7: After clicking "Apply", you will need toggle "Attachment Required?" to "Yes".
Step 8: Next, you will scroll down to "Automated Options" and click "Add" on the right side of the screen and the "LodeStar Closing Cost Calculator Automated Options" screen will open up. You will then click on blue button labeled "Set Default Automated options".
Step 9: You will then see an option added under "Option Name". You will select that option and click "Continue".
Step 10: It will then add that option to the "Service Orders" and you will then need to active it by turning it on.
**Also make sure to the rule is active in the top right corner.
Step 11: After clicking "Save", you will need to create a workflow rule by clicking "Go to Workflow Rules".
Step 12: You will click on "New Rule" in the top right corner of your screen and name the rule. Then under "Triggering Event", you will select "File Attached".
Step 13: You will then click the "add" sign and select your Purchase/ Sales Contract folder and click "apply".
Step 14: Navigate to "Conditions" and make sure the required folder is also selected under the "Required Document Folders" section.
Step 15: Next navigate to the "Result" tab and select "Order Service" in the "Resulting action" dropdown and click "Add".
Step 16: The you will select the service rule that was created in the previous steps under "Select Service Rule" and click "Save".
Step 17: Finally, we make sure the rule is active by toggling it on within the "Workflow Rules" screen.
